Terms of Service

These Terms of Service (“Terms”) govern the use of all training courses, digital content, and related services provided by 4 TEFL (“we”, “us”, “our”). By enrolling in a course, purchasing a product, or using our website, you agree to be bound by these Terms. Please read them carefully before making a purchase.

1. Definitions

• “Course” means any online or blended training programme offered by 4 TEFL.
• “Student” means any individual who enrols in a Course.
• “Digital Content” means any online course material, downloads, or other resources.
• “Services” means training, certification, and related support provided by us.

2. Acceptance of Terms

• By purchasing a Course, creating an account, or otherwise using our Services, you confirm that you:
• – are at least 18 years old (or have parental/guardian consent if under 18),
• – have provided accurate information during registration,
• – accept these Terms as legally binding.

3. Services and Access

• Access to digital course content is granted upon successful payment.
• Courses are delivered online unless otherwise stated.
• Course durations, prices, and available add-ons (including printed certificates) are published on our Prices page.

4. Accounts and Security

• You are responsible for maintaining the confidentiality of your login details.
• Accounts may not be shared with third parties.
• Any misuse of your account may result in suspension or termination of access without refund.

5. Payments, Prices, and Promotions

• All fees must be paid in full before access is granted.
• Prices are correct at the time of purchase but may be changed at any time for future sales.
• Discounts, coupons, and promotions are subject to their own conditions and may be withdrawn at any time.

6. Refund Policy

• You may cancel your enrolment and request a refund within 14 calendar days of purchase, provided you have not yet begun your course. By accessing the course materials or submitting the learner agreement, you are deemed to have started your course and acknowledge that your right to cancel and receive a refund is forfeited.
• Once the 14-day cooling-off period has expired, or once the course has been accessed, no refunds or cancellations are permitted. This policy complies with the UK Consumer Contracts Regulations.

7. Rescheduling and Transfers

• Students may request to transfer or reschedule a course before it has started.
• All such changes must be requested in writing at least 14 days before the scheduled start date.
• An administrative fee may apply, similar to competitor practice.
• Requests made less than 14 days before the course start may be declined.
• Transfers are not permitted once the course has begun.

8. Non-Attendance and Lateness

• Failure to attend a scheduled session (online or live) without prior notice is considered a no-show and no refund or rescheduling will be granted.
• If you arrive late and miss substantial content, the tutor may refuse entry and the session will be forfeited.
• Missed sessions cannot be rescheduled or refunded.

9. Course Completion and Certificates

• To receive a certificate, you must complete all required modules and assessments.
• Certificates in PDF format are issued free of charge after successful completion.
• Printed certificates are available as a paid add-on, as listed on our Prices page.
• Course access is limited to the duration published on the course description. Extensions may be purchased if available.

10. Academic Honesty and Student Conduct

• All work submitted must be your own. Plagiarism, cheating, or dishonesty will result in disqualification without refund.
• You must treat staff and other students with respect. Abusive, threatening, or disruptive behaviour will not be tolerated and may result in suspension or expulsion without refund.

11. Intellectual Property

• All course content, materials, and resources remain the intellectual property of 4 TEFL.
• Students are granted a non-exclusive, non-transferable licence to use materials for personal educational purposes only.
• Copying, sharing, reselling, or distributing course content without written permission is strictly prohibited.

12. Limitation of Liability

• Our liability is limited to the amount paid by you for the relevant Course.
• We are not liable for indirect, incidental, or consequential losses, including loss of profit, opportunity, or time.
• We do not accept responsibility for travel, accommodation, or other expenses incurred in relation to your course.

13. Force Majeure

• We are not liable for failure to deliver services caused by circumstances beyond our control, including but not limited to natural disasters, strikes, illness, internet outages, pandemics, or government restrictions. In such cases, we may offer alternative arrangements at our discretion.

14. Complaints and Appeals

• We are committed to high standards of training and support.

15. Governing Law and Jurisdiction

• These Terms are governed by and interpreted under the laws of England and Wales.
• Any disputes arising from or connected with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

16. Amendments

• We reserve the right to amend these Terms at any time. The latest version will always be published on this page.
• Continued use of our Services after changes have been made constitutes acceptance of the new Terms.

Privacy Policy

We only collect what we need to run your course, award qualifications and keep assessments fair. We don’t sell your data. You can access, correct or delete your data (with some regulatory limits), and you can opt out of marketing at any time.

What data we collect

Depending on your interactions with us, we may process:

1. Identity & contact: name, date of birth, email, phone, postal address.
2. Account & enrolment: username, course(s) enrolled, progress and completion.
3. Assessment data: submissions, feedback, grades, logs (incl. remote invigilation where used).
4. Identity verification (Ofqual-regulated provision): verification result (pass/fail), session ID, timestamp and, where provided by our identity provider, limited document fields (e.g., full name, date of birth, document type/issuing country, truncated document number). We do not store biometric templates.
5. Payments: payment status, amount, method, partial card details (last 4 digits). Full card data is processed by our payment provider and is not stored by us.
6. Technical data: IP address, device, browser, approximate location, cookies and similar technologies.
7. Communications: support requests, complaints/appeals, and call/meeting notes where relevant.

Why we use your data (purposes & lawful bases)

• Deliver courses and manage your account — Contract (Art. 6(1)(b)).
• Assessment, certification and quality assurance — Legitimate interests (integrity of assessment; fraud prevention) and Contract.
• Identity verification for Ofqual-regulated qualifications — Legitimate interests and Contract.
• Payments, invoicing and tax — Contract and Legal obligation.
• Support and operations (security, troubleshooting, logs) — Legitimate interests.
• Regulatory and awarding-body requirements (e.g., Ofqual) — Legal obligation/Legitimate interests.
• Analytics and improvements — Consent (where cookies/trackers are non-essential).
• Marketing communications — Consent; you can withdraw any time.

We use essential cookies to run the site, and (with your consent) analytics/marketing cookies. See our Cookies Policy for details and to manage your preferences.

Identity verification (Ofqual-regulated provision)

To protect learners and uphold assessment integrity, we verify identity for regulated courses (e.g., TEFL Level 5 RQF). Automated checks use Stripe Identity (document + live selfie). We receive the verification outcome and limited “verified outputs” only; we do not store biometric templates. A manual fallback route is available on request or where accessibility adjustments are needed. See our Identity Verification Policy for full details.

Sharing your data (recipients)

We share personal data only as necessary with:

• Service providers (processors): hosting, LMS, CRM/email, payment processing (e.g., Stripe), identity verification (Stripe Identity), support tools.
• Awarding/regulatory bodies where required (e.g., to investigate malpractice or issue/verify certification).
• Professional advisers, insurers and legal authorities (where we must).

We put in place data processing agreements and safeguards with all processors.

International transfers

Some processors may store or access data outside the UK. Where this happens, we rely on appropriate safeguards (e.g., the UK International Data Transfer Addendum to the EU SCCs) and assess provider security. You can contact us for details of the specific safeguards used for a given service.

How long we keep data (retention)

We keep data only as long as needed for the purposes above, or to meet legal/award requirements. In particular:

• Identity verification — verification result and minimal audit: retained for the duration of study and up to six (6) years after the last certification outcome; manual uploads (ID/selfie) kept only until a decision is recorded (no longer than 90 days), then securely deleted.
• Course and assessment records — typically up to six (6) years after completion.
• Financial records — typically six (6) years (tax/accounting).

Your rights (UK GDPR)

Subject to certain limits, you can:

• access your data;
• correct inaccurate data;
• request erasure;
• restrict or object to processing (including a right to object to marketing at any time);
• request portability (data you provided to us);
• withdraw consent where processing relies on consent.

Children

Our services are not directed at children under 16. If you believe a child has provided personal data without appropriate consent, please contact us and we will take appropriate steps.

Automated decision-making

We do not make decisions producing legal or similarly significant effects solely by automated means. Identity verification may include automated checks, but a manual route and review are available.

Security

We apply administrative, technical and organisational measures to protect personal data (role-based access, encryption in transit and at rest where applicable, logging and monitoring, and incident response). No system is perfect; we encourage you to use strong, unique passwords and keep your credentials safe.

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top shows when changes were made. Significant changes will be communicated on this page or by email where appropriate.,
